This Privacy Policy describes how iServices Inc d.b.a. MovingLetters.ai ("MovingLetters," "we," "us," or "our") collects, uses, and shares information about you when you use our website at movingletters.ai, our application at pro.movingletters.ai, and our related products and services (collectively, the "Services").
We are based in Colorado Springs, CO. Questions about this policy or any of your rights described below should go to privacy@movingletters.ai.
What we collect
We collect three categories of information:
- Information you give us. Name, business name, email, phone number, billing address, payment information (processed by our payment processor), service area, account preferences, and anything you submit in a form, demo request, support ticket, or email.
- Information we collect automatically. Server logs (IP, browser, device, referrer, pages visited, timestamps), cookies, and similar technologies used to keep you logged in, remember preferences, and measure how the Services are used.
- Information from third parties. Real-estate listing data, owner contact data, realtor contact data, and NCOA-validated mailing addresses we license from data providers for use in the ListingPro product. Public-record information used for verification. Payment confirmation data from our payment processor.
How we use it
- To provide the Services and operate your account;
- To process payments and prevent fraud;
- To send transactional messages (account, billing, security, product change, support reply);
- To send promotional messages where you have opted in (see SMS and email sections below);
- To improve and develop the Services, including aggregated analytics;
- To comply with legal obligations.
SMS messages, opt-in, and TCPA
When you provide a phone number through a form on our Services and check the SMS-consent box (or otherwise affirmatively opt in), you agree to receive SMS messages from MovingLetters at the number provided. These may include account, billing, support, demo-scheduling, and promotional messages.
Consent is not a condition of purchase. Message and data rates may apply. Message frequency varies. To opt out at any time, reply STOP to any SMS we send you. For help, reply HELP. We honor opt-out requests within the timeframe required by applicable law.
We do not share, sell, or rent SMS opt-in data, phone numbers collected for SMS, or SMS conversation content with third parties for their own marketing purposes. Sharing with service providers (the telecom carriers and SMS platforms we use to deliver messages) is permitted only to the extent required to deliver the message.
Our SMS program is operated in compliance with the Telephone Consumer Protection Act (TCPA) and applicable state law, including CTIA short-code best practices and A2P 10DLC brand registration. If you believe you received an SMS from us in error or without consent, email privacy@movingletters.ai and we will investigate and respond.
Email and U.S. commercial-email rules
Transactional emails (receipts, account changes, security notices, support replies) are sent without an opt-out because they are necessary to operate the Services. Marketing emails are sent only to recipients who fall within applicable U.S. commercial-email rules. Every marketing email contains a one-click unsubscribe link in the footer; honoring an unsubscribe is automatic and immediate.
Cookies and similar technologies
We use first-party cookies for authentication, session management, and analytics. We use a small number of third-party tools for product analytics and ad-conversion measurement. You can disable cookies in your browser, but doing so may prevent the Services from working correctly. We surface a cookie banner where required by applicable law (EU, UK, certain U.S. states).
Who we share information with
- Service providers we use to operate the Services (hosting, payment processing, email delivery, SMS delivery, customer support, analytics, error reporting). Each is bound by confidentiality and data-processing terms.
- Print and mail vendors for our Direct Mail product (printing the letter or postcard, NCOA validation, posting via USPS first-class mail).
- Authorities when required by valid legal process, or to protect the rights, safety, or property of MovingLetters or others.
- In a corporate transaction (acquisition, financing, merger, bankruptcy), subject to standard confidentiality protections.
We do not sell personal information for the purpose of cross-context behavioral advertising.
California Consumer Privacy Act (CCPA / CPRA) rights
If you are a California resident, you have the right to:
- Know what personal information we collect and how we use it;
- Access or receive a copy of your personal information;
- Request deletion of your personal information;
- Correct inaccurate personal information;
- Opt out of any "sale" or "sharing" of personal information (we do not sell or share for cross-context behavioral advertising, but you may still submit a request);
- Not face discrimination for exercising any of the above.
To exercise these rights, email privacy@movingletters.ai with the subject line "CCPA Request." We will verify your identity before responding and reply within 45 days.
European users (GDPR)
If you are in the European Economic Area, the United Kingdom, or Switzerland, you have rights under GDPR equivalent to those above, plus the right to lodge a complaint with your local data-protection authority. The lawful basis for our processing is your consent (for marketing), contract (for the Services), or legitimate interest (for service security, analytics, and improvement) as applicable.
Data retention
We retain account data for the life of your account and a reasonable period afterward to satisfy tax, accounting, and dispute-resolution obligations. We retain SMS opt-in records as required by TCPA for at least four years. We retain server logs for up to 90 days.
Security
We use commercially reasonable administrative, technical, and physical safeguards to protect personal information. No system is perfectly secure; if you believe your account has been compromised, contact security@movingletters.ai.
Children's information
The Services are not directed to children under 16, and we do not knowingly collect information from children under 16.
Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the "Last updated" date at the top. Material changes will be communicated to active customers by email.
